Use Board Manager with Claude

Board Manager has a connector for Claude, Anthropic's AI assistant. Once it's connected, you can ask Claude about your board in plain language and have it do the routine work: check who's coming to Thursday's meeting, build an agenda, turn your rough notes into minutes, record the motions, or add the people you met at an event to your candidate list.

Claude works inside your account, with the same permissions and plan limits you have in the app. It can't send email or texts, and it can't delete anything.

What you need

• A Board Manager account where you're a coordinator. Board members sign in to their own portal and can't connect Claude.
• A Claude plan that lets you add connectors, on claude.ai, the Claude desktop app, or mobile.
• Any Board Manager plan. Compliance signing status needs Engage, the same as in the app.

Connect Claude

1. In Claude, open Settings → Connectors and choose Add custom connector.
2. Name it Board Manager and paste this server URL: https://nonprofitboardmanager.com/api/mcp
3. Click Connect. Claude sends you to Board Manager to sign in, with the emailed link you normally use.
4. On the approval screen, check that it names Claude, then click Approve.

You can also copy the server URL from Settings → Connect Claude in Board Manager. If you coordinate more than one board, Claude works with the board you're signed in to.

What Claude can do

Look things up

• A board overview: members, terms ending, upcoming meetings, and follow-ups
• Members and their terms, positions, committees, and skills
• Committees, upcoming and past meetings, agendas, attendance, and minutes
• Candidates in your pipeline, and the skills matrix
• Action items, compliance signing status (Engage), and Board Binder progress

Make changes you ask for

• Add and update members, terms, renewals, officer and committee positions, and skills
• Create and edit meetings, set the agenda, record RSVPs and attendance
• Save minutes, record motions and how they were decided
• Add and move candidates and add notes
• Add and update action items, add calendar items, and update Board Binder sections
• Draft a message, which you review and send from Board Manager yourself

By default Claude asks before it uses a tool that changes something. You can choose which tools it may use without asking.

What Claude can't do

• Send email or texts to anyone. Drafts wait for you in Messages.
• Delete members, meetings, candidates, or anything else. Deleting stays in the app.
• See any other organization's data, or anything your account can't see.
• Upload files. Add documents in the app.

Try asking

• "What does my board look like right now? Anything I should deal with this week?"
• "Who hasn't responded to the next board meeting?"
• "Whose terms end in the next six months, and who's eligible to renew?"
• "Here are my notes from tonight's meeting. Turn them into minutes, record the motions, and add the follow-ups as action items." Claude shows you the draft before saving it.
• "We need a treasurer and someone with fundraising experience. Which candidates fit?"

Claude also offers three saved workflows from the connector's menu: Prepare for the next meeting, Turn notes into minutes, and Plan board recruitment.

Privacy

Claude reads and changes your board's data only through this connector, and only while you're using it. Board Manager receives only what Claude passes to a tool, such as the name of a member to add, never the rest of your conversation. For each tool Claude uses, we log the tool's name, your organization, and whether it worked, so we can support you. We never log what you asked or what came back. Anthropic handles your conversations under its own privacy policy. Our privacy policy has the details.

Disconnect

In Claude, open Settings → Connectors, find Board Manager, and choose Disconnect. Claude stops using Board Manager right away. Signing out of Board Manager doesn't disconnect it.

If something goes wrong

• "Couldn't reach the MCP server" or the connect button does nothing: check the URL is exactly https://nonprofitboardmanager.com/api/mcp, then try again.
• Claude says a feature isn't on your plan: compliance signing is on Engage. Everything else works on every plan.
• Claude can't find your board: make sure you signed in with the email you use for Board Manager, as a coordinator.
